Refund Policy

This policy is incorporated into, and should be read together with, the Whitelist-Warden Terms of Service and End-User License Agreement.
1. The Free Trial Is Your Evaluation Period
Every new subscription starts with a seven (7) day free trial. This trial exists precisely so you can install the Software, test it against your own site (ideally in staging first), and confirm it meets your needs before you are charged anything. A valid payment method via PayPal is required to start the trial, and unless you cancel before the trial ends, your card on file will be automatically charged for the plan you selected.
Because you have a full week to evaluate the Software risk-free, we design this policy around the expectation that you make your purchase decision during the trial, not after.
2. Paid Subscriptions Are Generally Non-Refundable
Once your free trial converts to a paid subscription and you are charged, that charge — and any subsequent renewal charge — is generally non-refundable. This applies to both monthly (USD $10/month) and annual (USD $99/year) plans. We do not provide prorated or partial refunds for unused time within a billing period, for months or years you did not fully use, or because you forgot to cancel before renewal.
We take this position because the free trial already provides a no-cost opportunity to decide whether the Software is right for you before any money changes hands.
3. Cancel Anytime — You Keep Access Through the Period You Paid For
You may cancel your subscription at any time, for any reason, with no cancellation fee. Cancelling:
- Stops all future charges. You will not be billed again after cancellation.
- Does not trigger a refund of the current period. You retain access to paid features through the end of the billing period you already paid for (e.g., through the end of the current month or current year), after which your account converts to any available free tier, or loses access to paid features.
How to Cancel
You can cancel using either method:
- PayPal Automatic Payments: Log into your PayPal account, go to Settings → Payments → Manage Automatic Payments, find Whitelist-Warden / BOT-HOLDINGS, LLC, and cancel the subscription agreement.
- Email: Send a cancellation request to [email protected] from your account email address. We will confirm cancellation in writing and it will take effect for your next billing cycle.
We recommend cancelling through PayPal directly, since that immediately stops the billing agreement at the source; emailing us is a valid alternative and we will process it promptly, but there may be a short delay compared to cancelling in PayPal yourself.
4. No Partial-Period Refunds
We do not issue partial refunds for: switching plans mid-cycle, not using the Software for part or all of a paid period, uninstalling the Software before your period ends, or forgetting to cancel before a renewal charge. If you cancel after being charged, the cancellation applies going forward only, as described in Section 3.
5. Chargebacks
Please contact us first at [email protected] before filing a chargeback or payment dispute with PayPal or your card issuer. Most billing questions can be resolved directly and faster than a formal dispute process. If you file a chargeback without first contacting us:
- We reserve the right to immediately suspend or terminate your account and license while the dispute is investigated.
- We reserve the right to dispute the chargeback with PayPal and provide evidence of your use of the Service.
- A successful chargeback does not entitle you to continued access to the Software; access will be revoked upon chargeback regardless of outcome, at our discretion.
- Repeated or fraudulent chargebacks may result in permanent termination of your account and denial of future service.
6. Discretionary Exceptions
We understand that genuine mistakes happen — a duplicate charge, a billing error on our end, or an unusual circumstance. We may, at our sole discretion, issue a full or partial refund as a goodwill exception even where this policy does not require one. Granting an exception in one case does not obligate us to do so in any other case, and does not modify this policy going forward.
Circumstances we're generally willing to look at include: a clear technical error on our part (e.g., you were double-charged), a charge that occurred despite a timely cancellation attempt that failed due to a bug on our end, or a first-time renewal charge you missed by a very short window immediately after the charge posted. We are under no obligation to grant these, and each request is evaluated individually.
7. How to Request a Refund or Report a Billing Issue
Email [email protected] with:
- The email address associated with your Whitelist-Warden account.
- The date and amount of the charge in question.
- A brief description of the issue.
We aim to respond to all billing inquiries promptly. Refunds, where granted, are issued to the original PayPal payment method and may take several business days to appear depending on PayPal's processing times.
8. Coupon and Trial Abuse
Refunds and goodwill exceptions under Section 6 are not available where the underlying subscription was obtained through fraudulent or abusive use of a coupon, ambassador code, or repeated free trials, as described in the Terms of Service. We reserve the right to deny refund requests and terminate accounts in such cases.
